What happens if you reach your hotel in Japan late at night and have not called ahead? Each hotel answers in its own terms of accommodation, in one line about the time after which it may treat your booking as canceled. Those times do not line up. So we read the official terms of every hotel and chain we could and put the ones that state a clock time in one table: 53 hotels and chains.
The short version: the most common late arrival deadline is 8 p.m., in 29 of 53 terms, then 10 p.m. in 13. If you gave an arrival time, 46 of 53 move the deadline to two hours after it. Five more hotels use a different rule, and two of them count from your stated arrival time with no extra time.

Late arrival deadlines at Japanese hotels: the table

Sorted by the deadline in the terms, earliest first. “If you gave an arrival time” is the extra time the same clause allows when you told the hotel when you would arrive. The no-show column is the line for a single booking in the hotel’s own cancellation table. Every row’s terms are listed under Sources.

What the late arrival table shows
What is the most common late arrival deadline?
8 p.m., in 29 of 53 terms (55%), from Palace Hotel Tokyo and The Okura Tokyo to Hotel Keihan, Comfort Hotel and Mitsui Garden Hotels. Next is 10 p.m. in 13, most of them business hotel chains such as Richmond, Daiwa Roynet, Dormy Inn and Candeo. That is the count in this table, not a rule for Japan.
Which hotels have the earliest deadline?
5 set 6 p.m. or earlier: Hotel Collective in Naha, Fujiya Hotel, Hoshino Resorts for stays with dinner, and Hotel Chinzanso Tokyo, all at 6 p.m. Sapporo Grand Hotel’s table reads 15:00, the same hour as its check-in. Next comes Nishimuraya Honkan at 7 p.m.
Which hotels wait until midnight?
3, all budget or capsule chains: Super Hotel, Tokyu Stay and Nine Hours. Just before them, Hotel Nikko Narita sets 11 p.m., and its English FAQ says: “please let us know if you will check in after 23:00.”
Does the same hotel group use the same deadline?
Not always. Okura sets 8 p.m. in Tokyo and Kyoto, 9 p.m. at Hotel Okura Tokyo Bay and 10 p.m. in Kobe. Nikko sets 8 p.m. at Kansai Airport and 11 p.m. in Narita. The four Imperial hotels all set 8 p.m. Look up the hotel, not the brand.
How much extra time does a late arrival get if you gave a time?
How many hotels add two hours?
46 of 53. The usual wording is that the deadline becomes two hours after the arrival time you stated in advance. Imperial Hotel and Hotel Villa Fontaine word it as “the same” applying once two hours pass, and Book and Bed Tokyo as “within two hours”. We count all three as two hours.
Which hotels give less than two hours?
4. Almont Hotels, Vessel Hotels and Keikyu EX Inn allow one hour; at Keikyu EX Inn the hour also runs from a check-in time set for the booking. Comfort Hotel allows 30 minutes, in both its Japanese and English terms. If you are running late at one of these, call.
Which terms give no extra time, or a longer one?
Hoshino Resorts and Nine Hours have no clause for a stated arrival time. Sapporo Grand Hotel’s table lists “6 hours”, the longest in the table, beside its “15:00”. We report it as written and have not guessed how the two figures combine.
What happens to a late arrival booking after the deadline?

Is the booking canceled automatically?
Not by the wording. Almost every clause says the hotel may treat the booking as canceled by you. It does not say it will. Only 3 tie the late no-show straight to the cancellation charge in the same clause: Nishimuraya Honkan (“the Guest shall pay cancellation charges as listed in Attached Table 1”), Ibusuki Hakusuikan and Vessel Hotels.
What is the no-show charge?
Where we could read the no-show line for a single booking, 47 of 53, it is 100%, or “the full amount” at Sotetsu Fresa Inn. We could not read the table at Fujiya Hotel, Hotel Nikko Kansai Airport, Ibusuki Hakusuikan and Hotel Okura Tokyo Bay. Gora Kadan has no no-show column but charges 100% on the day, and Hoshino Resorts refers to its cancellation policy. For charges before the day, see our hotel cancellation fees table.
What if a train or flight delay makes you late?
Only one set of terms in our reading covers it. Kamikochi Imperial Hotel says it will not take the cancellation charge if the guest proves that the failure to arrive without contact came from a train, plane or other public transport not arriving or running late, or another cause that was not the guest’s fault. The terms for Imperial Hotel in Tokyo, Osaka and Kyoto do not include this. Elsewhere, call the hotel as soon as you know.
Hotels with a different late arrival rule
Five hotels and chains do not set a clock time in the same way. We keep them out of the table and the counts.

Which hotels count from your stated arrival time?
Toyoko Inn and First Cabin. Their terms set the deadline at the arrival time you gave, with no two-hour window. If you booked with an early arrival time and will be late, update it or call.
What about front desk hours and unguaranteed bookings?
MIMARU uses the time its front desk closes, 10 p.m., or your stated arrival time. Swissotel Nankai Osaka holds unguaranteed reservations until 18:00 on the day of arrival, after which the room may be released, and advises guaranteeing every reservation.
How does Route Inn handle a no-show?
With no clock time. If you neither arrive nor call to cancel within the day, before midnight, its terms bill the full room charge including consumption tax, and if the first night is a no-show it can apply the same to the following nights.
When a hotel’s terms and FAQ give different times
Which hotels list 8 p.m. in their terms but midnight elsewhere?
Three. Their terms of accommodation and their FAQ or guide pages give different times. The terms are the binding document; we have not guessed which time each hotel applies in practice.
- Imperial Hotel, Tokyo: terms 8 p.m. (plus two hours if you gave a time). Its FAQ says a booking may be treated as canceled if you pass midnight without telling the hotel.
- Hotel New Otani Tokyo: terms 20:00. Its FAQ: “Your reservation may be canceled if you do not arrive by midnight without prior notice.”
- Hotel Universal Port: terms list a check-in deadline of 8 p.m. Its guide page says you need not call if you pass your stated check-in time, but asks you to call if you will arrive after midnight.
At all three, calling before 8 p.m. covers both.
Which deadlines did we report without interpreting?
Sapporo Grand Hotel’s “15:00” and “6 hours”, as above. And Hoshino Resorts: 6 p.m. for stays with dinner, while for stays without dinner the Japanese terms write the time as “12 p.m.” and the English terms say “by midnight”. Hotel Metropolitan Tokyo Ikebukuro is counted at 8 p.m. from its newly revised terms; we have not confirmed when the revision takes effect.
Does a 24-hour front desk change the late arrival deadline?

Can I arrive any time if the front desk never closes?
Not by the terms. 7 hotels in the table state a 24-hour front desk and an 8 p.m. deadline in the same terms, among them The Okura Tokyo, Imperial Hotel, Tokyu Hotels, The Busena Terrace, Shiroyama Hotel Kagoshima and Hotel New Otani Tokyo. Hotel Chinzanso Tokyo and Hotel Collective do the same at 6 p.m. The desk may be staffed all night, but the clause about late arrivals still applies.
Which hotels close the front desk at night?
Ibusuki Hakusuikan’s front desk runs 7:00 to 22:00 and Chorakuen’s 7:00 to 22:00 with a 0:00 curfew, both with an 8 p.m. deadline. MIMARU’s desk closes at 10 p.m., and that is its deadline. Plan a late arrival at these with care.
How to plan a late arrival at a hotel in Japan

What should I do before I arrive late?
Give an arrival time when you book, and update it if your plans change. Then call or message the hotel before the deadline in its terms. Your booking’s own conditions, from a stay plan or a booking site, can come before these terms; Hotel The Mitsui Kyoto, for one, says the charges in your booking confirmation take priority. Read those first.
What if the hotel has no published terms?
Ask it directly. Hilton Tokyo Bay, for example, has no terms on its site that we could find; its FAQ asks you to call the front desk if you will arrive after 24:00 and lists a 100% charge for a no-show without contact. Hotel Takayama Green Hotel’s 8 p.m. in its FAQ is about serving dinner, not a deadline in its terms.
